What does it do?

Connecting Toggl Hire to Zapier will let you send profiles of your candidates to many other services supported by Zapier. For example, you can add every new candidate as a card in Trello, or a row in a Google Sheets spreadsheet.

We pass on basic candidate info to Zapier:

  • Name and email

  • Phone, city and country

  • Score, both as percentage and points

  • Time to complete

  • When the test was finished

  • GitHub and LinkedIn profiles

What ATS (Applicant Tracking Systems) does Zapier cover?

You can use Zapier to send new candidates straight to your ATS. At the moment the following ATS have a Zapier app

  • BambooHR

  • Recruitee

  • BreezyHR

  • VIVAHR

  • Zoho

  • BrightMove

  • Greenhouse

  • Workable

You can see all HR apps on Zapier here

How do I set it up?

First, you will need a Zapier account, if you don’t have one already. You can sign up on the Zapier website.

As we launched the integration only recently, we need to invite any users who wish to use the integration. You can accept the invitation through Zapier.

When you have an account and you have accepted the invitation, you can begin setting up the integration through the Zapier editor. In the When this happens … section search for Toggl Hire. You should see the Toggl Hire app in the search results.

Once you click on it, you will be able to select the trigger event. However, Toggl Hire supports only one trigger event, New Candidate, so you can click on Continue to go to the next step.

Now you will need to give Zapier access to your Toggl Hire workspace. To do this, click on Sign in to Toggl Hire.

A new window will open with the form asking you for your API key. To get the API key, click on the link to integration settings.

On the integration settings page click on Generate new API key and then copy all letters and numbers in the API key field. If you are a member of multiple workspaces, you can use the workspace switcher in the top right corner of the application to select the workspace you wish to connect to Zapier.

Now we'll come back to the window asking you for the API key. Here you can paste the API key and click on Yes, Continue.

If everything worked fine, you should now see your workspace selected and you can click on Continue.

Finally, you can select the job opening you want to connect to Zapier. When you click on the Skills Test field you should see a list of all your Toggl Hire skills tests. Select the preferred test.

Now that you have selected the test you want to use, click Test trigger. This will make sure everything is working properly and that Zapier can access your candidates.

Now you're ready to set up your action, that is what happens when a new candidate takes a test in Toggl Hire. To do this, you can select any of the apps supported by Zapier. Zapier has more info about this process.

You can use various candidate information as variables in your actions. For example, here we are using candidate name, email and test score to fill in a Google Spreadsheet. You can read more about using variables on Zapier.

And now it's only left to turn your new Zap on!
